Electronic Reserves: Information for Faculty and Instructors
The University of Delaware Library Electronic Reserves service scans paper copies of instructional materials submitted by faculty into PDF format and makes them available to University of Delaware students via DELCAT. Material to be scanned needs to be provided on 8.5″ x 11″ sheets of paper that can be processed by a scanner with an automatic document feeder.
Faculty and instructors are invited to participate in the University of Delaware Library Electronic Reserves service. A Course Reserve Reading List form in Microsoft Word format, specifically for processing Electronic Reserves material, can be downloaded below. You may submit a completed form and paper copies of materials at the Morris Library Circulation and Reserve Desk or through campus mail. At this time, Reserve staff cannot accept completed forms by email.
Course Reserve staff will confirm receipt of your Electronic Reserves reading list and material via email. Confirmation will include a password, assigned by the library, which you will need to provide to registered students in your course in order for them to access your Electronic Reserves material in DELCAT.
Electronic Reserves Copyright Guidelines
When library staff are reviewing documents submitted for Electronic Reserves they will be considering the four factors of Fair Use as provided by Copyright Law (Title 17, Section 107):
- Purpose of the Use
- Nature of the Work
- Amount of the Work
- Effect on the Market for the Original
Below are examples of material that may or may not have problems when placing them on Electronic Reserves:
I. Course materials generally accepted for Electronic Reserves provided they meet other submission criteria:
- Instructor-owned materials:
- Course syllabus
- Lecture Notes
- Problem sets/solutions
- Sample exams
- Material in the Public Domain:
- U.S. Government publications
- Works published before 1923
- Copyright holder has waived permission requirement
- Limited portion of copyrighted works such as:
- Single article from a journal issue
- One chapter or 10% of a book
- Several charts, graphs or illustrations
- One poem or short story from a collected work
- A selection (10% or less) from non-print works such as motion media, music and collections of images
- Material for which copyright permission to scan and provide access has been granted
- Material that is judged to fall under the “fair use” provisions of the Copyright Law.
II. Course materials generally NOT accepted for Electronic Reserves:
- Works complete unto themselves that are not in the public domain:
- Materials that qualify as course packs:
- Materials that exceed 10% of the total assigned reading for a particular course
- Multiple parts of larger works (multiple chapter from books; multiple articles from journals)
- Copies of various works or excerpts that together or separate constitute an anthology, compilation or collective work
- Materials extracted from works intended to be “consumable” in the course of study or teaching, such as workbooks, exercises, standardized tests and test booklets and answer sheets
- Journals articles which have been included in a course pack students are expected to purchase
- Student papers, without written permission from the author granting such permission and waiving privacy rights (FERPA – Family Educational Rights and Privacy Act.)
III. Copyrighted material submitted for repeated use is subject to the approval of the copyright holder.
- If royalty fees charged for the use of copyrighted material are deemed to be excessive by the library, the material will not be made available electronically.
- These items will be made available in print format only at the Morris Library Circulation and Reserve Desk.
Electronic Reserves Submission Deadlines
To assure that Electronic Reserves material will be available by the first week of classes for each semester, please submit your completed Electronic Reserves Reading List form with copies of course materials by the following deadlines:
- Fall Semester 2014: Deadline July 25; new lists accepted until December 12.
- Winter Session 2015: Deadline December 12; new lists accepted until February 6.
- Spring Semester 2015: Deadline January 9; new lists accepted until May 18.
- Summer Session 2015: Deadline May 8; new lists accepted until August 13.
- Fall Semester 2015: Deadline July 24; new lists accepted until December 11.
Reserve Forms are processed in order of receipt. Materials received after the deadline typically take a minimum of five working days for processing. Please verify that a Reserve Form has been received and the processing completed before assigning readings. Inquiries can be made by calling Circulation and Reserve staff at (302) 831-2455.
Submitting Material for Electronic Reserves
- A completed Electronic Reserves Reading List form must accompany submitted material before your request can be processed. To assure legibility, forms should be typed.
- A Microsoft Word electronic document form can be downloaded below. Please fill in all required fields. Using the “tab” key will move the cursor from one field to the next. A blank form can be obtained by downloading and printing out the form without completing any fields.
- When all course material has been listed on the Electronic Reserves Reading List form, print it out and bring it to the Morris Library Circulation and Reserve Desk along with copies of the material to be placed on Electronic Reserves. At this time, Reserve staff cannot accept completed forms by email.
- Typically five working days is necessary for processing material. At times of heavy demand, such as the beginning of the semester, processing material may take longer depending on workload.
- Full bibliographic citations are required for each article submitted (please refer to the sample form PDF).
- Paper submissions of course material should be clean, high-quality photocopies. Paper submissions will be kept on traditional reserve for the semester.
- Electronic Reserves material may be submitted on diskette, CD, or flash drive in the following recommended electronic formats: ASCII (do not include hard returns, use word wrap), RTF, Postscript, PDF, Microsoft Word, and Microsoft PowerPoint.
- Electronic Reserves articles exceeding 25 pages (8.5″ x 11″) will be available on traditional reserve only.
- All Electronic Reserves material will be removed from the library server at the end of the semester.
Please complete the online Electronic Reserves Reading List form and bring in or mail all material on the list to be placed on Electronic Reserves to the Circulation and Reserve Unit, 103 Morris Library. Electronic Reserves Reading Lists cannot be processed until all course materials listed on the submitted form have been received.
Faculty need to continue to have students purchase textbooks, course reading and other required readings which are necessary for successful completion of assignments. Electronic Reserves is intended to provide supplemental course readings and is not an alternative to purchasing texts.
